Processing of the personal data

Personal data is processed for organising the Friendship Programme. Participants’ names can be shown to others in necessary matters. Personal data of the gift card recipients are shared to the University of Turku’s Human Resources. The data will not be given outside of those organising the programme. 

Data content of the register

The enrolment data given by the participants themselves include the following:

•    First and last name
•    Municipality of residence
•    Social security number
•    E-mail 
•    Phone number
•    Possible allergies and special diets
•    Additional information to consider

Regular data sources

Data given by the participants themselves via the virtual form or otherwise.

Register protection

The data is protected technically and the register is handled carefully. Only the persons involved in organising the Friendship Programme have a right to access the register. Persons maintaining the register have a confidentiality obligation. 

Right of inspection and right to request correction of information

Every person on the register has the right to check their data stored in the register and request correction of any incorrect information or supplementation of incomplete information. If a person wants to check the information stored on them or request a correction of the information, the request should be sent in writing to the registrar. If necessary, the registrar may ask the participant to prove their identity. The registrar responds to the participant within the time provided for in the EU General Data Protection Regulation, as a rule, within a month. The participant has the right to file a complaint about the processing of personal data to the supervisory authority.

Data retention

Personal data will be stored for as long as is necessary to enable the participant’s enrolment and related events, as well as to enable follow-up measures related to the Friendship Programme, such as the collection of feedback. After the required actions have been completed, all related electronic and paper documents featuring personal data will be deleted apart from photos and photo-related information.
