Bookings
Booking Conditions
- The granted time slot is binding, and the customer must comply with the duration of the booking as stated in the booking confirmation.
- If the granted time slot is not suitable or does not correspond to the requested time, it is the customer’s responsibility to notify Customer Service immediately.
- The transfer of time slots to a third party is prohibited.
- The contact person for the booking is responsible for ensuring that an adult is present during the session and that the booking terms and facility rules are followed.
- Access to the sports hall is permitted 15 minutes before the start of the session, and the hall must be vacated no later than 30 minutes after the session has ended.
- The doorbell may only be used during your own training session, as the buzzer sounds inside the hall and may disturb those currently training.
- Those inside the hall must not allow the next group to enter. Access to the hall is granted using the group’s own key or by a member of the group opening the door.
- The external doors of sports halls and ball game halls must be kept locked during the session. Nothing may be placed in the doorway to keep the door open (for safety and alarm system reasons). The user of the session is responsible for ensuring that unauthorized persons do not enter the premises.
- The person responsible for the session must, after it has ended, ensure that the facilities are left in proper condition. Please make sure that all equipment is returned to its designated place and that benches are properly arranged to enable cleaning and to ensure easy access for the next group. Kindly notify our Customer Service at liikunta.varaukset@turku.fi if, upon arrival, there is anything out of the ordinary in the hall. If anything is damaged during your session, please report it without delay.
- The person making the booking is responsible for the accuracy of the booking information provided, including the correctness of the stated billing address.
Conditions for Cancellation
- Training sessions may be cancelled free of charge no later than seven (7) days prior to the session. Cancellations must be made via the Timmi booking system or by email to the booking office at liikunta.varaukset@turku.fi.
- Event bookings may be cancelled free of charge no later than four (4) weeks prior to the event (excluding league and play-off matches). Cancellations of event bookings must be made by email to the booking office at liikunta.varaukset@turku.fi. The duration of an event booking may be shortened free of charge by no more than 50% of the original booking no later than two (2) weeks before the event date. All cancellations and changes must always be notified by email to liikunta.varaukset@turku.fi.
- Sports Services reserves the right to cancel or amend confirmed bookings. No compensation shall be payable by Sports Services under any circumstances in the event of cancellations or changes.
Invoicing
- Time slots will be invoiced in accordance with the valid price list for facility hire; prices are available in the Price List of Sports Facilities. The customer is obliged to pay for the reserved sports facilities even if the sessions have not been used, unless the session has been cancelled in accordance with the instructions.
- Late cancellations or unused training sessions and event bookings will be invoiced in accordance with the valid price list.
- For late cancellations of sessions booked under Payment Group 1, we will charge according to the Payment Group 2 price list.
- Sports Services reserves the right to take into account possible force majeure-type reasons when determining cancellation fees and may waive additional charges related to bookings. Such reasons include, for example, cancellations of outdoor field sessions due to exceptional weather conditions or cancellations due to verified illness.
- Sports Services may retroactively charge double the facility hire fee for sessions that have been intentionally applied for under an incorrect payment group. In similar cases of misuse, double the facility hire fee may also be charged. Such misuse includes, for example, using a facility without a required reservation or transferring a session to another party. The charge will be based on the price of the applicable payment group or, if the price of that group is 0€, according to the next applicable paid payment group.
- Sessions for which user details are missing will be invoiced according to the Payment Group 3 price list.
- Facility hire fees are invoiced monthly based on the sessions recorded in the Timmi booking calendar. As an exception, facility hire fees for June and July will be invoiced in August, and December fees will be invoiced in week 51.
- The person making the booking is responsible for the accuracy of the session details and the correctness of the billing address.
- Any remarks concerning an invoice must be submitted in writing before the due date.
- If the customer has outstanding invoices, their sessions will be cancelled and no new sessions will be granted until all invoices have been paid.
- Keys to sports facilities must be collected from and returned to Sports Services Customer Service by the notified return date. A fee of 80€ will be charged for keys that are returned late, not returned, lost or damaged.
- The user is liable for any damage to the sports facilities caused during use that exceeds normal wear and tear.
Keys
Access to sports halls, ball game halls and the changing rooms of outdoor fields requires a key. The key will only be issued to an adult coach or instructor responsible for the session. Keys may not be handed over to another person.
- Keys to the changing rooms at Kupittaan palloiluhalli are available from Kupittaa Ball Game Hall.
- Keys to the changing rooms for Kupittaa outdoor fields, Parkin kenttä and Jäkärlä field are available from the staff in Kupittaa Ball Game Hall.
- Keys to the changing rooms for Urheilupuisto Upper Field are available from the staff at Paavo Nurmi Stadium.
- The changing rooms for Impivaara grass field are located in Impivaara Football Hall.
- Keys to sports halls, ball game halls (excluding Kupittaan palloiluhalli) and outdoor fields are available from Sports Services Customer Service on the 1st floor of Veritas Stadium.
- Access to Liikuntakeskus Alfa and Kupittaan urheiluhalli is by access wristband.
Please return the keys after use to the same location where they were issued. Keys to sports facilities and changing rooms may not be handed over to another user. Access to the hall is permitted only with the group’s own key or by a member of the group opening the door.
Keys to Sports Halls and Ball Game Halls:
- The collection of keys must be agreed in advance by emailing the number of keys required, the facility, the date and time of the session, and the name of the person collecting the keys to liikunta.varaukset@turku.fi.
- When collecting a key from Sports Services Customer Service, it will only be issued to the session contact person in accordance with the bookings recorded in Timmi, no earlier than one week before the first session.
- You must present the booking confirmation and a valid ID. If necessary, the contact person may authorise another person by email to collect the keys on their behalf: liikunta.varaukset@turku.fi.
- Keys are registered under the name of the session contact person. The contact person is responsible for returning the keys on time by the date stated on the key handover form. If the contact person changes during the season, updated contact details must be submitted to Customer Service without delay.
- If you book individual sessions in the same facility or continue regular sessions in indoor sports facilities, the key loan period may be extended. Please agree on the extension by email, stating the key code, to liikunta.varaukset@turku.fi. The validity of a key will not be extended for a session more than two weeks in the future; a new key must be collected closer to the date of the new booking.
- All keys for individual and regular sessions must always be returned by the date stated on the key handover form.
- Returning the keys on time by the agreed return date is always the customer’s responsibility, and no separate reminder will be issued.
- A fee of 80€ will be charged for keys that are not returned, returned late or damaged.
